Scanner360

Privacy & processing

Effective 17 October 2026 · Version scanner360-1.0

Delete your Scanner360 account or data

You can request account deletion or removal of selected cloud documents without installing the app. From the app, open Settings, Privacy & terms, then Privacy policy to reach this page.

  1. Export any files you want to keep. Deletion is permanent once processed.
  2. Email sypport@etechworks.com from your Scanner360 account email, using the subject Scanner360 account deletion. To keep your account and remove only particular data, use Scanner360 data deletion and identify the data to remove.
  3. Support verifies that you control the account and confirms the scope of your request. Do not send passwords, verification codes or copies of identity documents. This is a manual support process, not an immediate automated deletion.

An account-deletion request covers the Scanner360 sign-in account, profile, preferences, consent and notification registrations, and associated active cloud documents and processing records. A selected-data request leaves the account in place. Local files and exports on your devices or in other apps are under your control; remove those copies separately.

Active account data is retained until a verified request is processed. Limited billing, fraud-prevention or security records may need to be retained to comply with legal obligations or resolve transactions. Support will identify any retained categories and their applicable retention period when confirming the request. Provider backups, historical object versions and temporary processing data can have separate expiry schedules; they are not represented as erased immediately with an app-visible record.

Deleting an account does not cancel a Google Play subscription. Manage or cancel it separately in Google Play to stop future renewal charges.

Device-owned voice meetings

When voice meetings are enabled, microphone recording begins only after you choose Record and grant microphone permission. Obtain the participants' permission before recording. A visible microphone foreground-service notification supports pause and stop while the screen is locked. Recording is limited to two hours; imports are limited to 128 MiB and supported Android audio formats. Low storage or an interruption can stop capture. The app saves recoverable audio segments but cannot recover audio that was never written.

Meeting audio, transcripts, minutes, decisions, actions and documents created inside a meeting are saved on this device under the signed-in account. They are not automatically sent to document cloud storage, including for Plus. Uninstalling the app or deleting local files can permanently remove them. Using an existing document AI tool on a meeting document is a separate explicit page-processing action with the temporary processing described above.

Transcription starts when you choose the transcription action. Live text is an optional recording mode. The configured speech service can process completed clips or a continuous audio stream with provisional words that are revised as speech is recognized. Legacy Qwen live text sends completed ten-second clips. Live processing needs internet and the app in the foreground; recording continues locally if the network, allowance or processing is unavailable, and unfinished audio can be resumed later. Stopping sends the last shorter portion. Audio passes transiently through Scanner360 to the configured service: Qwen ASR or Whisper Turbo through OpenRouter, Soniox, or Deepgram Nova-3. Recorded audio and live speech can use different configured models. OpenRouter audio requests require zero-data-retention routing and disallow provider data collection. Soniox uses its realtime API, without retained file uploads; its published security policy states that realtime audio and transcripts are not retained or used for model training. Deepgram requests opt out of its model-improvement program. Provider processing is governed by the applicable provider privacy and retention terms; see Soniox security and privacy and Deepgram privacy. Creating an analysis bundle separately sends transcript text to the configured analysis model through Ollama Cloud. Ollama states that cloud content is processed transiently and is not used to train models. These are remote AI services, not entirely on-device processing. Scanner360 does not persist meeting audio, transcript or analysis content in its server database or object storage. Local transcript and result JSON is encrypted with the account key; audio and attachments use the device sandbox. Review names, numbers and extracted actions. Segment times are approximate navigation aids. When enabled, speaker diarization provides anonymous connection-local labels, not verified identities, and can make mistakes.

Server records contain numeric quota/reward usage and opaque source, job and result proofs needed for verification and retry. Source/result proofs remain until account deletion; periodic voice counters are eligible for cleanup 90 days after their period resets. Opening saved results never runs AI again. Free saved text/results require an explicitly chosen completed video per viewing visit; Plus is ad-free. Meeting audio and text are never used as advertising targeting data.

Your separate account

Scanner360 accounts and application records are separate from other applications. Google Firebase provides authentication and optional completion notifications. Account profile, consent, plan and usage records are stored in Scanner360's production database to operate the service and enforce allowances.

Private and cloud storage

Private mode keeps document files on the device. If your plan permits cloud storage and you select it, documents and related metadata are transferred through authenticated requests to Scanner360's private Backblaze B2 bucket. Cloud files can be restored by the same Scanner360 account on another installation. Signing out does not delete cloud files. Local page images and indexes are protected by the device sandbox; not every file is encrypted. Protected OCR, notes, signature and bootstrap JSON use a local account key.

OCR and AI choices

On-device OCR processes pages locally. AI OCR and image-to-Word or Excel conversion are separate explicit actions, including in private mode: selected pages are sent to the backend and its configured processing provider. Converted layouts are approximate; review text, numbers, formatting and exported files before use. Current integrations include Ollama, Ollama Cloud, OpenAI, Google Gemini and OpenRouter; the configured plan and runtime policy select the processing path. Temporary AI inputs and results remain while processing, review or retry is possible and are removed by the job cleanup process. Processing and provider retention are distinct from your local storage choice.

Signatures, exports and notifications

Drawn signatures are saved locally within the account. A signed PDF is created when you export. Files shared or saved outside Scanner360 are controlled by the receiving application or destination. Completion notifications require opt-in and use a device token associated with the signed-in account.

Advertising choices

When advertising is configured, Free accounts may see banner ads. Eligible tools offer a separate choice to watch a rewarded video; videos never start without your agreement. A completed video earns one eligible PDF, signing or on-device OCR operation. In version 0.6 and later, Free AI OCR requires one server-verified completed video per selected source page. Word and Excel conversion require one server-verified completed video per selected source page before AI processing. Preview and editing follow conversion; saving a copy requires separate completed videos per source page, or one video for the current CSV sheet. Failed or cancelled saves retain earned access for retry. Video access never unlocks cloud storage. Random page-reward references and an anonymous installation identifier link provider completion callbacks to the requested page; account identity and document content are not sent to the ad provider. Scanner360 0.5 and later use Unity Ads through Unity LevelPlay. Earlier versions may use Google AdMob and its consent platform. These providers may process device and advertising identifiers, IP address, app activity and ad interactions. Before initialization, the provider requires a separate ad privacy choice. In Scanner360 0.5.1 and later, Free accounts include banner ads: non-personalized ads restrict personalization and targeted-advertising data sale or sharing; personalized ads permit the described personalization and sharing. Declining personalization keeps non-personalized ads available. Change this choice in Settings at any time. Version 0.5.0 also offered an optional ads-off choice; after updating, users who saved that choice must choose again before ads can load. Requests stay blocked while required ad consent is unavailable. Rewarded videos still require your separate agreement for each tool operation. Service consent does not automatically grant advertising consent. See Unity advertising privacy for provider processing and rights. Advertising disclosure updated 24 October 2026. Documents, signatures and OCR text are not provided as ad targeting data. Plus has no ads. Ad privacy options are available in Settings once advertising is enabled.

Retention and access

Stored scans remain until you remove them or their storage is otherwise managed. Provider object versions, backups and temporary processing data may have separate retention. Deleting an app-visible record is not a promise that every provider copy is immediately erased. Retain a backup of important originals. Operational usage, quota, status and error records support service operation; document contents and credentials are not intended as diagnostic log data.
